Description of positions held by volunteers
Member of the Board of Directors:
Board members participate in strategic decision making and Club operation. The Board meets once a month for 2 to 3 hours (normally during the week at 7 p.m.), and as required for specific reasons.
Treasurer:
The treasurer is responsible for managing the Club’s finances. He or she must be available 1-2 hours every two weeks to sign cheques and verify requests for refunds. Updating the transaction management system, revising the budget report and other miscellaneous tasks require about two hours per month. The treasurer is also responsible for preparing the annual budget over the summer. Hours are very flexible and work can be done from home.
Category Director (Senior, U13-U18 and U5-U6):
Directors are responsible for the smooth running of their own category, which includes the following tasks:
- Communicate with coaches, assistants and managers in the category. Discuss comments, complaints, suggestions, information and special events with the coaches.
- Inform the Technical Director and the Board of Directors of training needs for players/coaches. Help the Technical Director as required in assessing the players, forming the teams and selecting the coaches.
- Identify the needs of competitive teams and submit them to the Technical Director and the Board of Directors (equipment, training locations, etc.).
- Ensure that each coach has a current list (sent by the Club) of players and coaches at the same age level of his/her team, and that the coaches have received all game and training schedules.
- Ensure that all players, coaches and managers have their passports.
- Report to the Board of Directors on activities and events in his/her category.
- Assist in the preparation of the end-of-season celebrations for players in his/her category.
The Director is assisted by Club staff, including the office manager and the customer service clerk, as required. The workload is mainly from March to June, at the beginning of the season.
Coordinator positions
These positions are not members of the Board of Directors, but report to the Club President (representing the Board). Coordinators are responsible for an important part of Club operations and are supported by Club staff.
City Relations Coordinator:
Ideally, the Coordinator in charge of relations with the Ville de Gatineau would be available during working hours to meet with the city on various topics. This requires 2-3 hours per month.
Sponsor Relations Coordinator:
The Coordinator in charge of sponsor relations is bilingual, a good salesman and has good interpersonal skills. Tasks include negotiating new sponsorship agreements with local businesses, and managing relationships with major sponsors. This requires 4-6 hours per month.
Field Coordinator:
The Field Coordinator manages the quality of the fields together with the Ville de Gatineau. Tasks include ensuring that the nets are in place and the lines are painted, handling the logistics and administration of the game and training schedules, and performing weekly checks of the LRSO, LSSO and OCSL schedules to see whether any changes have been made by the ARSO or the OCSL. The Field Coordinator is busiest at the beginning of the season and during the summer months, requiring 5-10 hours per week during this time.
AA Coordinator:
The AA Coordinator manages the AA clubs from January to October.
